A phone system tells you a call happened, how long it lasted, and who was on it. It can't tell you the one thing you'll actually want in three weeks: what happened on that call.
PortaPro asks. When a call ends, a small prompt opens with the outcome already guessed, a notes box, and a checkbox to remind you tomorrow. Answer it in two seconds or dismiss it — it never blocks the next call.
---
CL-1: The Wrap-Up Prompt
The moment a call ends — you hung up, they hung up, the line dropped — Log this call opens over whatever you were doing.
It shows who the call was with and how long it ran, then asks two questions:
Outcome — one tap from six pills.
Notes — free text. What did they say? What did you promise?
Then Save.
It comes pre-answered
The outcome is already selected when the prompt opens, guessed from what the phone system knows:
| What happened | Suggested |
|---|---|
| Never connected | No answer |
| Line was busy | Busy |
| Outbound, connected, under ~25 seconds | Left voicemail |
| Anything else that connected | Spoke with them |
That last-but-one row is the one that earns its keep. A 12-second outbound call that "completed" is almost always a voicemail drop, so the common case is: glance, hit Save. If the guess is wrong, one tap corrects it.
It never traps you
Esc, Skip, or clicking outside dismisses it. A dismissed call isn't broken — it's just an un-logged call, and it still appears everywhere calls appear with its duration and recording intact.
That matters when you're taking calls back to back. A wrap-up form you can't escape is a form people learn to hate.
It doesn't nag about calls that never happened
A ring you declined, or one that was cancelled before it connected, produces no prompt. There's nothing to write down about a call nobody took.
---
CL-2: The Six Outcomes
| Outcome | Use it when |
|---|---|
| Spoke with them | You reached a person |
| Left voicemail | You got their machine and left a message |
| No answer | Rang out, no voicemail |
| Busy | Line was busy |
| Callback requested | They asked you to call back |
| Wrong number | Not who you were trying to reach |
Six fixed choices, not a text box — and that's the point. "Left voicemail" is only useful if it's the *same* value every time. Free text turns into `vm`, `VM`, `left msg`, `voicemail` within a month, and then "show me everyone I left a voicemail for" stops being a question anyone can answer.
---
CL-3: The Follow-Up Reminder
At the bottom of the prompt: Remind me to follow up tomorrow.
Tick it and PortaPro creates a task on that customer, due 9:00 AM tomorrow, titled *Call back [customer]* (or *Follow up with…*), carrying your notes as the description.
Picking Callback requested ticks the box for you — a callback you didn't schedule is just a note nobody reads again. You can untick it if you've already handled it; the un-tick sticks.
The checkbox only appears when the call is matched to a customer. A reminder has to live somewhere, and an unmatched number has no profile to put it on.
---
CL-4: Where Logged Calls Show Up
In the Inbox
Every call becomes a card in the customer's conversation thread alongside their texts and emails, showing direction, duration, and a play button for the recording.
Once you've logged it, the card also carries the outcome as a chip and your note underneath it. Someone else picking up the thread next week sees "Left voicemail — asked about the September pump-out, will call Tuesday" instead of "Outbound call · 14s".
On the customer's Activity timeline
Calls appear on the customer's Activity tab in among jobs, invoices, quotes and messages, with the same outcome chip and note.
---
CL-5: Filtering by Outcome
The Activity timeline's filter panel has a Call Outcome row: the six outcomes plus Not logged.
Pick one or more and the timeline collapses to just the phone calls that ended that way. Everything else — jobs, invoices, texts — drops out, because the question you're asking ("who did I leave voicemails for?") isn't a question about invoices.
Clear the outcome pills and the timeline returns to your normal type filters.
Not logged is the one to know about. It shows every call that was never wrapped up — the ones someone skipped past on a busy morning. It's the fastest way to find the call you *know* you took and can't find any record of what was said.
Text messages are never included. A text can't have a call outcome, so arming this filter is always a statement about phone calls.
---
CL-6: Common Questions
Can I log a call I already dismissed?
Not from the prompt — it's gone once dismissed. Add the detail as a note on the customer instead. Use the Not logged filter to find calls that slipped past.
Do I have to fill it in?
No. It's optional every time. Save with nothing filled in and it closes without recording anything.
Does the note reach the customer?
No. Outcomes and notes are internal. Nothing about the wrap-up is visible in the customer portal.
What if I typed a long note and the save fails?
The prompt stays open with your text intact. It won't close and lose what you wrote.
Can I add my own outcomes?
Not currently. The fixed list is what makes outcome filtering answerable.
Does logging a call change the recording or the call log?
No. Duration, direction, recording and voicemail are captured by the phone system regardless. The wrap-up only adds the two things the phone system can't know.
