If you bill ahead (each invoice covers the period that is about to start), PortaPro can send each rate card invoice on the first morning of its period and charge the customer's card on autopay, with nobody clicking. Anything that needs a look waits for a person, and you get one summary each morning.
It is off for every company until an owner or admin turns it on. With it off, nothing changes: drafts wait in Review Cycle Drafts for you to send, exactly as before. See Reviewing and Sending Cycle Drafts.
---
AS-1: Turning it on
Open Settings → Finance → Cycle Billing. In the Automatic invoicing panel, find Send rate card invoices automatically and click Edit.
Only owners and admins can change it. Auto-draft cycle invoices has to be on too, because automatic sending only ever sends drafts PortaPro made on its own.
AS-2: What sends itself, and when
When the morning draft run makes a rate card draft billed ahead, PortaPro checks it straight away and either schedules it for the first day of its period at your send time, or marks it as held with the reason. On that morning, at your send time, it checks every scheduled draft again with the latest facts (a card that expired overnight, a customer switched to Review before sending) and then sends what passes.
Because each rental bills from its own start date, invoices come due on many different days. The automatic send runs every morning and only sends what is due that day.
AS-3: When an invoice waits for a person
An invoice is held, with the reason written out, when:
A held invoice stays a draft. Open it, check it, and send it the usual way.
AS-4: Review before sending, per customer
Open the customer, click Edit, and go to Billing. Turn on Review before sending and that customer's invoices always wait for a person, even with automatic sending on. Off by default.
AS-5: The morning summary
Each morning something happens, office staff who can see financials get one notice in the bell and by email: how many invoices went out and for how much, how many cards were charged and declined, and every held invoice with its reason and a link to open it. There is never one notice per invoice. You can drop your own copy under Settings → Notifications → Invoice Reminders.
AS-6: The safety stop
PortaPro compares each morning with your usual mornings: the larger of the average of the last 4 automatic mornings and what went out on the same day last period. If this morning is more than twice that in number of invoices or in dollars, nothing is sent and the whole morning waits for you. Small mornings never trip it: 5 invoices or fewer, or $1,000 or less.
The first automatic morning always waits for you, so you see the first batch before anything goes out.
When it stops, owners and admins get an alert in the bell and by email, and PortaPro's team is told too. On Financials → Invoices a banner reads Automatic invoices for [day] are waiting for you with Send these now. One click checks each invoice again and sends the ones that pass; anything that now needs a look is held with its reason. A morning you send this way counts toward your usual mornings from then on.
AS-7: Turning it off
Edit the same setting and switch it off. Nothing else sends automatically from the next morning on; drafts already made stay drafts for you to review.
