PortaPro resolves sales tax by jurisdiction so teams can bill accurately across different areas without slowing down operations.
Sales tax is one company-wide switch, Charge sales tax by default, in Settings → Finance → Tax & Compliance. When it is on, PortaPro uses service location data to resolve the applicable rate automatically. If lookup cannot fully resolve, PortaPro falls back safely so billing can continue.

How Tax Is Configured
The company switch
| Setting | What happens |
|---|---|
| Charge sales tax by default: ON | New quotes, invoices, and billing-cycle invoices calculate tax automatically from the service address |
| Charge sales tax by default: OFF | No tax is calculated anywhere, even on line items marked taxable |
There are no tax "modes" to pick and no per-state rate table to maintain. An older Tax Configuration card offering Disabled / Flat Rate / Automatic-by-ZIP was retired once jurisdiction lookup became the path for everyone.
Automatic resolution
PortaPro uses service location information to determine the rate:
Best for:
Customer-level exemptions
Individual customers can be marked tax exempt (with certificate details and an expiration date) or given a fixed rate override. Customer settings take priority over the company switch, so an exempt customer is never taxed even when the organization charges tax by default.

How Tax Appears in Billing Workflows
Tax can be shown with:
This gives operators more confidence when reviewing quotes and invoices.
Example:
The point is transparency: staff can see whether the rate came from a resolved jurisdiction or a fallback path.
---
Tax Source Visibility
PortaPro can surface tax source context on quote and invoice views.
That means operators may see:
This helps with:

Fallback Behavior
If automatic lookup fails because of incomplete address data, temporary lookup issues, or missing location detail, PortaPro does not need to block the billing workflow.
Instead, PortaPro can:
Fallback does not mean the quote or invoice failed.
Fallback means the operator should verify the service location if needed.
---
Tax and Surcharges
Tax is calculated on the taxable portion of the document total.
This can include:
This matters because not every surcharge has to be taxed the same way. PortaPro keeps taxable and non-taxable surcharge behavior separate.
---
Quote and Invoice Audit Trail
Quotes and invoices can preserve tax context such as:
This makes it easier to explain later how a billing document was priced.

FAQ
How does PortaPro calculate tax?
PortaPro supports disabled, flat-rate, and automatic jurisdiction-based tax modes. In automatic mode, PortaPro uses service location data to resolve tax when possible.
What does fallback tax mean?
Fallback tax means PortaPro could not fully resolve the jurisdiction automatically, so instead of blocking the billing workflow it used the most recent cached rate for that location, or zero if there is none, and recorded that a fallback was used.
Does PortaPro show where tax came from?
Yes. Quote and invoice views can display tax source context so operators can see whether the rate came from a resolved jurisdiction or a fallback path.
Does tax apply to surcharges?
Tax applies to taxable portions of the document total. Surcharge rows marked taxable can be included in the taxable base.
If I change tax settings, will old documents change?
No. Existing billing documents keep their original tax snapshot. New documents use the updated tax behavior.
