Fleet Management is where you keep your trucks and trailers: the vehicle
list, which driver takes which truck each day, fuel, maintenance and repair
work, disposal sites, and compliance paperwork. It is one area with its own
menu of sections.
Opening Fleet Management
Click Fleet in the main navigation (the page title reads Fleet
Management). Opening it lands you on the Dashboard section.
Fleet Management is part of the Core plan and above. On a lower plan the
area shows an upgrade prompt instead of the fleet screens.
Who uses it
area (along with Inventory, Team Chat and their own time clock), and a
mechanic who signs in lands on Work Orders. A few office actions are
not theirs: deleting a vehicle and the Deleted Vehicles list are for
office staff only.
their truck for the day, inspections (DVIRs) and disposal live.
The sections
On a computer, the sections are in a menu down the left side of Fleet
Management, in six groups. You can collapse that menu; PortaPro remembers
your choice on that browser.
| Group | Section | What it's for |
|---|---|---|
| Overview | Dashboard | Fleet health at a glance: Total Vehicles, Road Ready, Needs Service, Overdue, the Attention Required list, Upcoming Service, trucks near tank capacity, spill kit status and the fleet health score. |
| Overview | Vehicles | Every truck and trailer. Add, import, search and open a vehicle. See Vehicles and Assignments. |
| Daily Ops | Assignments | Which driver takes which truck on which day (the page is titled Vehicle Assignments). |
| Daily Ops | Fuel | Fuel logs for the fleet. See Fuel Tracking. |
| Daily Ops | Truck Stock | Supplies carried on each truck. |
| Daily Ops | Disposal Sites | Landfills, transfer stations and treatment plants your drivers dump at, with their pricing. See Disposal Sites. |
| Maintenance | Service Due, Work Orders, Issues, Service History, Parts Room, Parts Requests | Repairs, inspections and defects. Issues shows open work orders and driver-reported defects together. See DVIRs and Maintenance. |
| Shop Setup | Mechanics, Vendors, Scheduling, Repair Time Goals | Your shop roster, outside repair shops, maintenance schedules and repair time targets. |
| Compliance & Safety | Documents, Spill Kits, Incidents, Decontamination Logs | Permits, registrations and insurance with expiry dates; spill kit inspections and stock; incident and decon records. |
| Records | Fleet Reports | Four reports: Maintenance, Sanitation Ops, Compliance and Gallons Hauled. |
Small counts appear beside Issues, Service History and
Documents when something needs attention (open defects, past-due
maintenance, documents expiring or expired).
Fleet Reports
Fleet Reports has four tabs:
Hours and Avg Cost / WO, plus Top Spend by Vehicle.
Expiring (60d), with decon frequency by vehicle.
critical items, documents expiring, action items) with Download PDF
Report.
Disposal Fees and Avg Cost / Gallon from disposal manifests.
There is no fleet utilization report, no scheduled delivery of fleet
reports, and no separate Fleet Analytics area. For business reports
(sales, jobs completed, gallons pumped by job), use Reports in the main
navigation.
On a phone
Below desktop width the left menu is replaced by a header that reads
Fleet with every section in one horizontally scrolling strip under it.
Swipe the strip to reach a section; the counts ride on the labels the same
way. The strip stays pinned under the app header as you scroll.
Adding or editing a vehicle opens full screen on a phone and as a panel from
the right on a larger screen.
