Routing happens on the Route Plan page (left menu, Routes). It works one day at a time: pick a date, build the whole team's routes for that day, then send them to the drivers' phones.
Before your first plan
Route Plan works with very little set up, but each of these makes the routes better:
A facility. Settings, Routing, Facilities, Add Facility. Your yard, depot, dump site or refill station; enter the street address and the map location fills in. Routes start and end here. With no facility, a route starts from the middle of the day's stops.Working hours on each truck. Fleet, open the vehicle, Edit Vehicle, Working hours. Left empty, a truck is assumed to run 06:00 to 20:00.Tank sizes (pumper trucks). Tank Capacity (gallons) on the truck, Capacity-aware routing in Settings, Routing, Truck Capacity & Dump Stops, and your dump sites in Fleet, Disposal Sites. With all three, Route Plan adds dump stops before a tank fills.Equipment handled (mixed fleets). Tag trucks for Sanitation, Roll-off containers, or Front-load containers & toter carts so each job goes to a truck that can do it.Driver and truck pairs. Fleet, Vehicle Assignments. Without them, Route Plan uses the drivers on that day's jobs and each one's most recent truck. An address or GPS pin on every site. Addresses not yet on the map are looked up when you plan. The vehicle's Home Yard field does not change where a route starts. Use the Start picker on Route Plan.
Plan a day
Pick the day in the week strip.Read the pre-flight bar: Ready to build, or the blockers to fix (Details lists them). In Plan this day, set Day starts at, Job types, Start and End.Click Plan day. The optimizer assigns every job for the date to a driver and orders each route for the least drive time on real roads. The plan is saved and the button changes to Push to drivers. If some stops can't fit, Route Plan lists each one and why; fix the cause, or click Plan anyway (skip unroutable stops).
Prefer to do it yourself? Click or build manually to lay out each driver's assigned jobs by scheduled time, then drag them into order. Optimize day hands it to the optimizer at any point.
Review and adjust
Each route shows stops in order with estimated arrival times. The Stats panel totals drive time, on-site time, distance and estimated cost.On a computer, drag a stop to reorder it or move it to another driver (on a phone, Reassign). Lock a stop to keep its place while you drag others.Add dump stop, or override a stop's time on site.Re-plan day runs the optimizer again from scratch as a new version. It does not keep locked stops. What the optimizer respects

Click Push to drivers, then Dispatch. Each driver sees their stops under Today's Route in the app, in order with arrival times. Drivers only see a route once it's dispatched. If Customer SMS Notifications on Dispatch is on and texting is set up, each customer gets one text with their service day and approximate time.
During the day
Once a route is dispatched, its stops can't be dragged. When stops run more than 20 minutes late, Route Plan offers Rebalance from live positions: it re-plans every remaining stop from where the trucks actually are and saves the result in the Compare tab for you to review, publish and dispatch. For a rush job, Set as first stop today on the job puts it at the front of its driver's route.
PortaPro never reroutes drivers on its own, and drivers can't re-optimize from the field. Every change is a dispatcher's choice.
Save as scenario drafts an alternative plan; the Compare tab shows scenarios side by side and Publish replaces the day's plan.Optimize Week plans every day of the week at once. The Compliance tab's Route Readiness Checks lists anything to fix before you send. Not sure what's missing? Open the ? Help menu, choose Ask Kygo, and ask "Is my company set up for route optimization?" Kygo checks your trucks, facilities and site locations.Route Plan is the last stage of the recurring-service pipeline: a Rate Card row generates a service job, and Route Plan turns the day's jobs into routes. See Rate Card → Service Jobs → Drivers → Routes for the full picture.
