A kit is a package you rent as one item: a 20x40 frame tent with its top, poles, stakes and sidewalls, or a wedding package with the tent, 100 white chairs, 10 tables and linens. You price the kit once, book it as one line on a quote, job or invoice, and PortaPro checks and reserves every part behind it.
Create a kit
Go to Inventory and click New Kit (on a phone, the ⋯ menu → New kit).Give it a Kit name, an optional description and a type (a tent kit can be a Frame Tent, so it shows under the Events family).Set the Kit price. The kit is priced as one item; its parts go out at no extra charge.Click Create kit. PortaPro opens the kit's Parts tab.A kit has no units of its own, so there is no facility, starting stock or tag series to fill in.
Add parts
On the kit's Parts tab:
Add equipment adds any equipment, add-on or another kit. A Wedding Package can include the 20x40 Frame Tent kit. Kits can nest up to three levels deep, and PortaPro refuses a kit that would end up inside itself.Add supply adds a consumable that is used up on the job (stakes you leave behind, cleaning supplies). Returned gear should be equipment.Set each part's quantity per kit. Equipment takes whole numbers.If the item has variations, choose Any or a specific one (for example White chairs). With a variation chosen, only units with that variation are reserved.Turn on Optional for parts the customer can add or leave off. Included unless removed decides whether an optional part starts on.Show to customer controls whether the part is listed on the quote, invoice and quote page. Turn it off for things like stakes and straps.Use the arrows to set the order parts are listed in, then Save parts.The top of the tab shows how many whole kits are free today and which part limits it, for example "12 available today · Limited by Poles (72 free, 6 per kit)". Show contents to customers turns the contents list off for the whole kit.
Parts add up to shows what renting the parts one by one would cost at the kit's rate type. Use as kit price copies that number into the kit's price. It is a starting point; the kit's own price is what bills.
Book a kit
In the job or quote wizard, open Add items. Kits show with a Kit label, how many are free for your dates and the part that limits them.
Click Choose & add to pick how many, turn optional parts on or off, change a part's quantity for this booking or choose a colour or size. Each part shows how many are free for the dates.
If a part runs short, the sheet says so, for example "Short 4 Chairs". Click Add anyway to book it: the job reserves every unit that is free and shows the rest as short. A customer accepting a quote online is never blocked by a shortage.
On the line list, the kit shows its contents underneath; Edit kit reopens the choices.
What happens when the job is saved
Every equipment part is reserved as specific units for the job's dates, picked automatically from units that are free for those dates. Units you picked by hand for another line on the same job are never taken.Supplies are added to the job's materials at no charge and come off stock when the job is completed.If a part was short, the job shows Short N next to that part.The pickup job lists the exact units the kit went out with.Converting an accepted quote to a job reserves the kit's parts the same way.
What the customer sees
The quote PDF, the online quote page and the invoice show one priced line, for example "20x40 Frame Tent Package $1,200", with the parts listed underneath. Parts with Show to customer off, and every part of a kit with Show contents to customers off, are left out. The crew sees every part and the unit numbers on the job.
Good to know
Changing a kit's parts never changes a quote, job or invoice that already has it. Each booking keeps the contents it was booked with.A kit can't go on a Rate Card. Rate Card rows are one product each.A product that is part of a kit can't be deleted until it is removed from the kit.With Item movement on (Settings → Item Movement), a kit on a saved job can be changed: open the job, edit Items, and use Change kit for a new quantity or different parts. The held units follow. Without it, a kit on a saved job is read-only; book it again from the wizard.Related articles
