Item movement tracks every unit of rental gear through a booking: it is held for the dates, pulled and loaded onto the truck, delivered, checked back in, and cleaned or repaired before it goes out again. It is built for event and tent rentals, where 100 chairs, 10 tables and a tent go out on Friday and have to come back on Monday.
It is off until you turn it on.
Turn it on
Go to Settings → Item Movement and switch on Track item movement. With it on:
Every line holds real units
When you book "20 chairs", PortaPro picks 20 specific chairs that are free for the job's dates and holds them. If fewer are free, the job still saves: every free unit is held and the line shows Short with the number missing.
The job's Items section lists the held unit numbers under each line. Click a unit number to Swap it for another unit of the same product from the yard.
Change items on a booked job
Open the job and edit Items:
When you save, extra units go back to the yard and new ones are held for the job's dates. A kit's supplies (stakes, sandbags, straps) change with it until the delivery is completed. A unit that is already out with the customer can't come off the job; check it in first. If a unit you removed was already loaded, the pull sheet lists it under Take off the truck and the driver is told Order changed after loading.
Moving a job moves its units
Rescheduling a job, changing its date in Schedule, or extending an event moves its held units to the new dates. A container swapped in the field stays on the same job line. A unit that is booked by another job on the new dates is swapped for a free one of the same kind; if none is free, the job shows Short.
Pull sheets and loading
Inventory → Warehouse → Pull sheets shows every delivery going out on a day (it opens on tomorrow). Each job lists its lines with every held unit:
Drivers see the same list as Load on their delivery in the driver app.
Return check-in
Each product decides what a return check asks for. Open the product in Inventory and edit Returns:
Check in from Inventory → Warehouse → Returns (everything due back on a day, plus anything picked up and waiting for check-in) or from Return check-in on the driver's pickup job. Scan each unit as it comes off the truck, enter counts for counted products, and use ⋮ on a unit to mark it Damaged or Missing. Finish check-in saves it:
Units from a product with a return check stay unavailable after the pickup is completed until they are checked in.
Charge for missing and damaged
After a check-in with missing or damaged units, the office (owner or admin) sees Charge for missing & damaged. Missing units start at their replacement cost; price any damage, then Charge customer. The card on file is charged, or the invoice is emailed.
Cleaning
Inventory → Warehouse → Cleaning lists units waiting to be cleaned, by product, with how long each has waited. Select them (or scan) and Mark clean to put them back in the yard.
Hold units on sent quotes
In Settings → Item Movement, Hold units on sent quotes sets how many days a sent quote holds its units (or Don't hold units). When you send a quote, PortaPro holds units for its dated lines so nobody else books them. The hold ends when the quote is declined, edited or deleted, or when the days run out. When the quote becomes a job, the job takes the same units. Tent sections, legs and other counted pieces are held by quantity the same way (see Tent Systems).
The quote's details show Held units: Holding N until a date, with Release to give them back now.
