Every library report has the same controls, in the same order, across the top. Under them sit the headline figures, the table with a bold Total row, and a sentence that says exactly what the report counts.
The date control
Date range (most reports). The pill opens on Year to Date unless the report says otherwise (Rate Card Billing Audit opens on Last billing cycle). Presets:
As of (balance reports: Open Invoices, Customer Balances, Collections, Days Since Last Service). These answer "what was true on a date", so they take one date: Today, End of last month, End of last quarter, End of last year, End of last billing cycle (when you bill on a cycle) or any date from the calendar. For an earlier date, payments received afterwards are added back, so a month-end run shows the balances that existed that day.
No date (Units Deployed, Roll-Off Containers). These are your equipment right now, so there is no date control.
Invoiced or Collected
Reports that offer both show an Invoiced / Collected toggle:
These follow QuickBooks Online's accrual and cash conventions, so totals line up with what your bookkeeper sees. Some reports have one basis only: Payments Received is Collected; Sales by Product / Service is Invoiced, because a payment settles a whole invoice, not a line.
Group by and filters
Group by picks what each row is: customer type, account type, customer, parent account, site, month, payment method (Collected only), driver, truck, disposal site, product and so on. Each report offers only the groupings that make sense for it. Branch appears only for companies with more than one branch.
Filters are dropdowns you pick from, never a text box: Customer type, Account type, and on some reports Method, Aging, Job type, Status, Billing status or Ticket. A customer with no type reads No customer type; an account with no residential or commercial class reads Unclassified. Those "no value" rows always sort last.
Summary, Detail and drilling in
Detail lists stop at 5,000 rows and say so. The totals are still complete, and an Excel or CSV export carries every row. If a report shows an amber note that it hit its safety cap, the numbers are incomplete: narrow the date range.
Export
Click Export and choose PDF, Excel or CSV. The export runs the report again with exactly the settings on screen, including a drilled-in group.
Schedule
Schedule emails the report, set up exactly as it is on screen, on a repeating schedule. See Scheduled report delivery.
