The Sales & Customers group answers "what did we bill, what came in, and who did it come from". Most of these reports share the Invoiced / Collected toggle described in Running a report.
On the Invoiced basis the headline reads Invoiced, Paid on these invoices, Still open and Invoices, and the table shows Invoices, Invoiced, Paid, Balance and % of invoiced. On Collected the table shows Payments, Collected and % of collected.
The sales reports
| Report | Answers |
|---|---|
| Sales by Customer Type | What each customer type (septic, construction, events and so on) invoiced and paid you |
| Sales by Account Type | Residential versus commercial. Accounts with no class read Unclassified |
| Sales by Customer | Customers ranked by what they were invoiced and what they paid. Group by Parent account to roll a contractor's divisions into one row |
| Sales by Month | Invoiced and collected month by month, for any slice of customers |
| Sales by Branch | What each branch (yard) invoiced and collected, side by side. Enterprise, for companies using Branches |
| Sales by Site | What each service location invoiced and paid: a contractor's subdivisions, an event ground, a plant. Invoices with no site fall in a "No site" row |
| Sales by Product / Service | What you invoiced by product and service line, with quantities. Group by product, line type (Rentals & equipment, Services, Deposits), customer type, customer, site or month. Invoiced only |
| Cash Discounts Given | Invoices settled at the cash price under the Cash Discount Program: Card price, Discount given, Cash price and Avg discount, by month, the method that earned it, customer, customer type or account type |
Example: "How much have my septic customers made me this year?" Open Sales by Customer Type, leave Year to Date and read the Septic row. Switch to Collected for what they actually paid, or filter Customer type to Septic and group by Customer to see who.
New Customers by Lead Source
Customers added in a period by where they came from (the customer's Lead source field), with New customers, Prospects, Imported and Share. Group by Lead source, Month, Customer type or Account type.
Rate Card Billing Audit
"Did every rate card actually get billed this cycle?" The audit lists every live rate card row for the period, one row each, with the cycle invoice that covered it or the reason none did. It opens on Last billing cycle.
Each row gets a Billing status:
| Status | Means |
|---|---|
| Billed | A sent cycle invoice covers this row's period |
| Draft, not sent | A cycle invoice exists but is still a draft |
| Skipped | The period was skipped for this customer |
| Not billed | No cycle invoice covers it. This is the one to look at |
| No rate | The row has no rate set, so there was nothing to bill |
| Starts after this cycle | The row's Bills From date is after this period |
| Site paused or closed | The site is not billing right now |
The headline counts Rate-card rows, Billed, Draft, not sent, Not billed and No rate. Expected is rate times units for recurring rows, a rough "what this cycle should be worth", not the invoice amount.
How coverage is decided:
Group by Customer, Billing status, Site, Parent account, Customer type or Account type, and filter by Billing status to see only the Not billed rows. Detail shows the customer, site, unit type, units, rate, period, service, Bills from, status, and the covering invoice's number, status and amount.
