The Guests tab in the event layout editor holds the guest list and who sits where, right beside the drawing it belongs to. Drag a table and its guests go with it; draw a new table and it's ready to seat.
Where guests sit
Guests sit at tables: any table on the drawing, or anything drawn with chairs around it. A table's seats are the chairs drawn at it (set with Chairs at this table), or the product's Seats when none are drawn.
Tables are numbered in reading order: the front (top) row first, left to right. A table you gave a label ("Head table", "Sweetheart") keeps its label instead of a number. The numbers are the same in the editor, on the seating chart and on the customer's copy. Guests belong to the table itself, not its number, so moving a table across the tent takes its guests with it.
No tables yet? The tab says "Add tables with chairs to the drawing to seat guests at them." Plan for guests and Fill add tables quickly (see Draw Where Everything Goes).
Add guests
Import a guest list
Press Import list. In Import guest list, press Choose a file or paste the rows straight into the box.
Before you import, the dialog says how many guests it found and how many rows were skipped for having no name. The first import is Import. With a list already there, choose Add to list, or Replace list (it asks "Replace the whole guest list with this one?").
A layout holds up to 2,000 guests.
Seat everyone
The summary at the top counts guests, seated guests, seats and tables, warns Over capacity for a table with more guests than seats, flags guests whose table was taken off the drawing, and totals the meal choices.
Seating chart PDF
Seating chart opens a printable PDF:
Download list saves the guest list as a CSV (Name, Group, Meal, Table, Notes; Group is the party) for the caterer or the venue. It imports straight back in.
Show it to the customer
Turn on Show the seating chart to the customer in the Guests tab (it's off unless you turn it on). A Seating chart link then appears beside the layout on their quote page, the share link and the customer portal, once the list has guests.
Guest names appear only in that PDF. They're never printed on the customer's page itself, and the layout PDF doesn't list them. Customers can't edit the guest list; they send changes the way they send anything else: a comment on the layout, a message, or a new spreadsheet for you to import.
Seating and approval
The guest list saves with the drawing but is never part of the layout's approval. Seating changes right up to the event, so moving guests around never asks the customer to approve the layout again. Moving a table does, because the table is part of the drawing.
