For a ballroom, a barn, a hall or a tent going up inside a pavilion, a satellite photo shows the roof, not the room. Draw the event layout on the venue's own floor plan instead.
What you can upload
CAD files (DWG and the like) can't be uploaded. Save or print the plan as a PDF first. A plan with a dimension line, or a wall or doorway you know the length of, makes setting the scale easy.
Upload the plan
When it's in, PortaPro says "Floor plan added. Now set its scale: tap two points you know the distance between."
Set the scale
A floor plan arrives at no particular size, so tell PortaPro how big it really is:
The plan is resized so that distance is true, and everything you draw on it is in real feet from then on. The longer the distance you measure, the less a slightly-off tap matters, so a long wall beats a doorway. If the two points are too close together, PortaPro asks you to try again.
Fit and fine-tune
Then draw as usual: tables, chairs, a stage, a dance floor, a bar. The Check tab works the same indoors, and Fill lines tables up inside an area you drew around the room (see Draw Where Everything Goes).

Where the plan shows
While the layout is in Grid view, the floor plan sits under the drawing everywhere the layout goes: the editor, the customer's quote page, the share link, the customer portal, the driver app, and every PDF (the layout PDF, its page on the quote PDF, the install sheet and the seating chart). On a layout with a map location, switching back to Satellite shows the photo everywhere instead; the plan stays saved, ready for when you switch back to Grid.
The plan file itself is private. Nobody can open the image on its own; it only shows as part of the layout.
Floor plans and approval
The floor plan is part of what the customer approves. Replacing it, moving it, changing its width or fading it after they've approved makes the layout Changed since approval, and their page asks them to approve again. See Customer Approval.
Common questions
I don't see Upload floor plan. It's in the Details tab with nothing selected, while the view is Grid (a layout with no map location is always on the grid). Templates don't carry floor plans, so the template editor doesn't offer it.
"This browser can't read PDFs." Upload an image of the floor plan instead, such as a PNG or JPEG export.
"Upload a PDF, PNG, JPEG or WebP of the floor plan." The file is another kind (a CAD file, a Word document). Save it as a PDF or an image first.
"That floor plan is over 15 MB." Export it smaller, or as a JPEG.
How accurate is it? As accurate as the two points you tapped and the distance you typed. It's a planning drawing, so check the room before setup day.
