Booking a tent is the signed quote and the deposit. The event layout can keep changing after that, so approving it is a separate, optional step: lock the inventory first, refine the layout later.
Show it to the customer
In the layout editor, open the Customer tab:
On the quote page the customer can pan and zoom the drawing, open it full screen or as a PDF, read the layout terms, type their name and press Approve layout, or press Ask for changes and say what they want. You get a notification, and their answer is posted to their conversation in the Inbox.
Versions
Every answer freezes a version of the drawing exactly as it was, with the terms they saw. If the drawing changes after they approve it, the layout's status reads Changed since approval, the editor says "Changed since (their name) approved it. Ask them to approve again." and their page asks them to approve again (undoing back to the approved drawing reads as approved again). That covers your own edits, a change to the venue's floor plan under it, and the customer moving tables and chairs themselves (Letting Customers Move Tables and Chairs). The guest list, comments and reference marks are not part of the approval, so changing them never asks again. Each version in History opens as a PDF. If a layout is edited while the customer has the page open, their approval is refused and the page reloads with the new version, so nobody approves a drawing they didn't see.
If the customer answers by phone or email, use Approved or Asked for changes under Customer answered another way? to record it. The version says it was recorded by the office.
In the customer portal
A layout you show the customer appears on their portal overview under Event layouts:
They can view it, download the PDF and, when you asked, approve it or ask for changes there: it's the same approval as the quote page and the share link. Where you've turned them on, the portal also has comments, the Seating chart link and Move tables and chairs, the same as the quote page. Turning on the share link alone doesn't put a layout in the portal. Layouts on a declined or deleted quote, or a cancelled job, drop out of the portal.
A layout that isn't on a customer's quote or job yet, such as one drawn for a lead, can't go in the portal. Send its share link instead.
Reminder email
A layout you asked the customer to approve gets one reminder email before its approve-by date, while it is still waiting on them (not yet approved, or changed since they approved it). It goes out in the morning, 3 days before the date unless you change it, to the people on the customer's account who get quotes. It says when the layout is due, links to the layout on their quote page and attaches the layout PDF. Move the approve-by date and a new reminder is sent for the new date. The reminder links to the layout on the quote page, so it only goes out while the layout is on a quote with Show on the quote on. A layout on a job you booked without a quote, on a lead, or with Show on the quote off gets no reminder email, so remind the customer yourself: send the share link again, or point them to their portal.
Settings → Event Layouts → Customer approval turns it off (Email a reminder) or changes Days before the approve-by date (0 sends it on the day). To send one now, press Email a reminder in the editor's Customer tab (it's there on a quote layout with Show on the quote and Ask the customer to approve on, until the layout is approved); the tab shows when the last one went out.
Attach the layout to an agreement
When you send an e-sign agreement from a quote or a job that has layouts, the agreement's first step lists them under Attach the event layout. Tick the ones to include. Each is added after the agreement as a copy of the layout as it looks when you send, with its item list and layout terms. The customer signs the agreement; the layout pages carry no signature fields. Editing the layout later doesn't change the copy in the agreement. Up to 5 layouts can be attached, and only layouts of that quote or job (or of the quote a job came from).
Layout terms
Settings → Event Layouts → Customer approval sets the approve-by days, an optional On-site change rate (per crew hour), and the Layout terms the customer sees. Leave the terms blank for the default wording:
