Reports → Job & Route Profitability shows revenue, direct costs and margin for each completed job and for each driver's route. It has two tabs, Job Profitability and Route Profitability, and a date range pill at the top (Year to Date by default). Growth plan and above.
What counts as revenue
Revenue is paid invoices linked to a job. It is cash basis: an unpaid invoice adds nothing until it is paid.
Cycle invoices from the rate card are not linked to individual jobs, so recurring rental and service revenue does not appear here. Use Sales by Customer, Sales by Site or Profit & Loss for that revenue. If the report is empty for a period, this is usually why.
What counts as a direct cost
| Cost | Where it comes from |
|---|---|
| Fuel | Fuel logs linked to the job, plus any job-linked expense in a fuel category |
| Disposal | Disposal records linked to the job, plus any job-linked expense in a disposal or dump category |
| Consumables | Supplies used on the job |
| Other expenses | Every other expense recorded against the job |
| Subrented equipment | The job's share of a subrental: days on the job times the cost per unit per day |
| Driver labor | An estimate, explained below |
To put a fuel fill on a job, turn on Link to a job in the fuel log (Fleet → Fuel → Add Fuel Log). An expense entered in Financials can be linked with Link to a job?. A fuel log or disposal record that is linked to a job shows up as an expense automatically; edit the original log, not the copy, if the amount or job is wrong. Yard tank fuel with no job link stays in fleet fuel reports and is not counted here.
Driver labor
Labor is a cost estimate: the time on the job times one company-wide labor rate. PortaPro never stores anyone's pay, and this number never touches payroll.
Set the rate
Until a rate is set, labor is $0 and the report shows Labor isn't counted yet. Set a driver labor rate to include it in these costs. with a Set a labor rate link.
How the time is measured, best evidence first:
The job drilldown names which one it used, for example "Driver labor · 22 min × $28.00/hr (driver arrived to completed)".
Job Profitability tab
Tiles: Total Revenue, Total Direct Costs, Gross Margin, Margin % and Completed Jobs. Group by Service type, Customer, Driver, Territory or Truck, and sort by revenue, gross margin, margin % or completed date. Click a job for the Job Drilldown: revenue lines, cost buckets, and the reconciliation (revenue minus direct costs equals gross margin).
Route Profitability tab
One row per driver per day, read from your published route plans. Tiles: Total Route Revenue, Total Route Direct Costs, Gross Margin, Margin % and Avg Revenue per Stop. Group by Driver, Day of week, Territory or Truck. Route labor is the on-site labor of every job on the route plus the route's planned drive time at the same rate; the Route Drilldown splits Driver labor (on site) and Driver labor (driving) and lists stop-level profitability.
Export
Export page (CSV) downloads the rows on the current page of the active tab.
On a job
The Job Profitability card on a job's page is cash basis too (paid invoices only) and shows Estimated driver labor under the cash figures, kept separate from Revenue, Expenses and Net because labor is an estimate.
