When the company draws a layout of your event (tents, tables, dance floor
and so on) and shows it to you, on your quote or on a booked job, the
portal's Overview page shows an Event layouts section. You can look
around the drawing, comment on it, move tables and chairs when allowed, and
approve it. The section doesn't appear when nothing has been shared.
What you see
Each layout shows its name and what it's for ("Quote Q-1043 · Event Oct 18,
2026"), the drawing to scale (on a photo of your site, or on the venue's
floor plan), a list of what's on it ("15 × 60in Round"), and any notes.
use Full screen.
Layouts waiting for your answer are listed first, soonest due first. A
layout on a quote that becomes a booked job stays. A layout on a declined
or deleted quote, or a cancelled job, drops out of the portal.
Comments on the drawing
When the company allows comments, the layout shows Comments with Add
a comment:
anywhere else), or choose Or comment on the whole layout.
replies (optional) to get replies by email.
Each pinned comment becomes a numbered pin, and the company sees the same
numbers. Tap a pin to jump to its comment, or press Reply to add to a
thread. The company is notified and the comment appears in your portal
messages. A settled thread is marked resolved and moves under Show N
resolved; writing in it again reopens it. A comment doesn't change the
drawing; the company does that.
Seating chart
When the company keeps your guest list on the layout and chooses to show
it, a Seating chart link appears beside PDF. It opens a printable
PDF with numbered tables, meal totals, each table's guests, and everyone
from A to Z with their table. Guest names appear only in that PDF. To change
the guest list or who sits where, ask the company.
Moving tables and chairs
When the company allows it, the layout shows Move tables and chairs.
Drag tables (their chairs come with them), chairs and rows of chairs,
lounge furniture, bars, buffets, the dance floor, stages, decor, heaters
and fans, and barricades. Tents, generators, lighting, restrooms and
hand-wash stations stay put, and so does anything the company locked. You
can move things, but not add, remove, resize or turn them.
When you're done, type your name and press Save my changes. Start
over puts everything back; Cancel leaves without saving. The company
is told and may put an item back. If you had already approved the layout,
moving things means you'll be asked to approve it again. If the layout was
updated while you were moving things, nothing is saved and the page reloads
the latest version.
Approving a layout
When the company asks for your approval, the section shows the date to
approve by and the Layout terms. Type your full name and press
Approve layout, or press Ask for changes, describe them under
What would you like changed? and press Send changes. The company is
notified and your answer appears in your messages.
Approving the layout is separate from accepting the quote. If the company
changes the layout after you approved it, you're asked to approve the new
version.
The same layout everywhere
This is the same layout as the one on your quote page. The company can also
send it as a link that opens without signing in, for you, your venue or
your planner. Comments, moved tables and approvals are shared across all of
them. A layout sent only as a link, and not shown to you in the portal,
isn't listed here; open it from the link.
Office staff in staff view see the layouts, comments and seating chart but
can't comment, move things, approve or ask for changes.
