Come January, your tax preparer wants two things: what came in, and what went out, sorted the way the form sorts it. If your business files a Schedule C, PortaPro can hand them both. It starts with your expense categories, under Settings, Finance, Expense Categories. Each category carries a Schedule C line, and that line decides where its expenses land on the export. Fuel, vehicle repairs and vehicle insurance start out on line nine, car and truck expenses. Dump fees go to line twenty-seven a, other expenses. Chemicals and deodorizers go to supplies. Change a line from this list whenever your accountant says one belongs somewhere else. A category with no line still counts. It lands on other expenses, marked unmapped. You can add your own categories. If you pay real loan interest, give it a category of its own on line sixteen b, rather than leaving it in bank fees. When it's time, open Reports and scroll to Accounting and Taxes. Open Year-End Schedule C Export. Then build the export. Pick the tax year, and the dates reset to January first through December thirty-first. Narrow them if you need a shorter stretch. The business name, EIN and address come from Tax and Compliance. Change one here and it applies to this export only. Revenue is cash basis: invoices that were paid, dated by the day they were paid. Then every expense, totaled by Schedule C line, from advertising down to other expenses. An expense split across categories counts on each of them. Net profit sits at the bottom. Take it as a spreadsheet, or a one-page PDF for your accountant. If you collected sales tax that year, the export lists it in its own section, for reference. It isn't counted as income. Rather not remember it in January? Under Templates, activate Year-End Schedule C Export, and last year's summary arrives by email on January tenth, with the PDF and spreadsheet both attached. The Quarterly Tax Summary does the same at the start of each quarter, with revenue and expenses for the one that just closed. Handy when estimated payments come due. Record expenses through the year, keep paid invoices marked paid, and the export is ready whenever you are. It's a summary for your preparer, not a filed return, and it isn't tax advice.
