Your address on the invoice, the clock your reminders run on, the number on every job and every unit. A handful of settings decide all of that, and they live together in one group. Under Settings, the Organization group starts with Company. Company Identity is your name, logo, browser icon and brand color. They head your invoices, quotes and PDFs, and your name is the sender on every customer email. Contact Details puts your email and phone on those documents. The support email is the one customers see on quotes, invoices and automated messages. Address and Hours holds the address customers see, and the time zone, which matters more than it looks. Every card works the same way. Click Edit and it turns into a form right where it is, then Save or Cancel. The whole company runs on this one time zone. Arrival windows, reminder texts, quiet hours and the date a recurring invoice is made all read from it. Change it, and everything from then on follows. Past records aren't re-dated. Business hours are shared by the whole team. They also decide when your customer portal shows you as online. And a default state fills itself in on every new customer and site address, which saves a lot of typing when nearly all your work is in one state. Branches are for a company that runs from more than one yard. This one has three. Each line counts the customers, facilities, depots, trucks, territories and people that belong to it. A company with one yard never needs this page. Here you sort customers, facilities, depots, trucks, territories and team members into branches. New sites, jobs and invoices then take their branch when they're created, and keep it. Anything you never sort belongs to the default branch. You can also limit a dispatcher or driver to the branches they work in. Owners and admins always see every branch. Jobs sets how job numbers look. Each job type can count on its own, with its own prefix, and the preview shows exactly what the next delivery, pickup and service will be called. Below it is the service completed notice. Turn it on, and when a driver finishes a stop the customer gets a note that it's done, with a link to the stamped photos, signature and GPS check-in. Asset Tags sets how your units are numbered. Each series is a range, like the one thousands for standard restrooms. Already have numbers painted on your units? Match that format here, and PortaPro carries on from wherever you left off. Next to it, you can order printed unit tags. These are weatherproof polyester, with the unit number and a QR code, printed by PortaPro and mailed to you. Scan one in the field and it opens that unit. The order starts from what's still untagged in each series, so you aren't paying twice for units that already have one. Each unit keeps its code for life, so a tag you bolt on today keeps scanning, even years from now. Subscription shows your plan and how you're billed. Changing plans or reviewing past payments happens in a secure billing portal, one click from here. Last is Apps and Integrations, one list of everything PortaPro connects to. The assistant switch decides whether the in-app assistant can look up your own customers and invoices, or answers from the help center only. Claude and ChatGPT can connect too, so you can ask about balances or jobs in plain English. It's read only, and each person signs in with their own login. Calendar subscription puts jobs in Google, Outlook or Apple Calendar. My jobs is only yours. All jobs is the whole company, for office staff. Every connection shows its status at a glance. Set up takes you to the screen that owns it. For your books, pick one accounting program. PortaPro sends to one ledger at a time, so nothing is entered twice.
