Most rental gear in PortaPro has a code on every unit: you can scan it, see its history and pick exactly which one goes out. That is the right model for restrooms, tents and tables, and it is wrong for 3,000 napkins. Nobody labels napkins one by one.
Track by count is for small pieces like that. You own a number, a booking holds a quantity, and the count comes back in on the job. There are no unit codes.
A product is always one or the other: either every unit has its own code, or the whole product is tracked by count. You can't mix the two inside one product. White napkins and black napkins are two products.
Add an item tracked by count
The asset tag series and the "Variants & quantities" rows are hidden while Track by count is on, because no unit codes are made.
Switch an existing product
Open the product, click Edit, and use the Tracking section:
PortaPro only lets you switch when nothing would be stranded. If a product still has coded units, is booked on a job, is held on a quote, or has pieces waiting on cleaning, the section says what to sort out first. Kits, tents and tent tops can't be tracked by count.
The Stock tab
A counted product has a Stock tab instead of the unit list: Owned, Out today, Cleaning, damaged or at laundry, and Free now. Below that:
Booking counted items
In the job wizard, pick the product and add a quantity like any other item. PortaPro holds that many from the count for the job's dates. If fewer are free, the job still saves and tells you how many it could hold. Counted items work in kits, quotes, quote holds, pull sheets and the availability calendar the same way coded items do.
Counting them back
When the job comes back, open the job (or Inventory → Warehouse → Returns) and use Count back:
If the product is set to Needs cleaning after return (Edit → Returns), the rest of what came back waits in Warehouse → Cleaning until you click Mark clean. Until then those pieces don't count as free, so they can't be booked dirty.
