What this is
Some counties and states want their own PDF form for each job: a septic inspection form, a pumper's log, a disposal manifest. Your office uploads that PDF once under Settings → Regulatory Forms and places fields on it (see Regulatory Forms). When a form is set to Drivers fill this on the job, the driver fills it on site in the driver app, with the answers PortaPro already knows filled in from the job.
Turning it on (office)
At the top of the form editor, turn on Drivers fill this on the job. Then pick On these jobs: Service and pumping, Deliveries, Pickups, Swaps. A form switched on with nothing picked attaches to service stops.
Turn on Required before the job can be completed when the driver must send it before finishing the stop.
On a text, date or signature field, Required when a driver fills it means the driver can't send the form with it blank, and the server checks it again. The office can always file what it has.
Nothing changes for a form until you switch it on: every existing form stays office-only. Field setup (Settings → Field setup) asks the same question: Do drivers fill a county or state form on the job?
Filling it (driver)
On a matching job, the driver app shows a County forms section with a County form: <name> step. It opens filled in from the job (customer, site, tank, gallons, truck, dump). Check each answer, sign where there's a signature box, and tap Send form.
A form marked required shows "Required before you complete the job." Begin Completion still opens the report: the form is checked when you tap Complete Service on the job's last service line, or Complete delivery / Complete pickup on a job report. If it is still missing, the screen says "Fill the county form first: <name>" with Fill the county form, which opens it with the gallons from the report you just filled in. Send it, then tap Complete again. Mark Complete and the Container Swap card wait the same way until the form is sent or saved on the phone.
No signal
With no signal the form says Saved on this phone and sends when you have signal, before anything else on the phone. The job can be completed meanwhile. Sent twice, it is still filed once.
The server checks required forms too
A driver or mechanic can't finish a stop while a required form is missing on the job, whichever way the stop finishes: Mark Complete, the last service report on the job, or the Container Swap card. The refusal reads "Fill the county form first: <name>". The office can always complete a job without the form.
Who can fill it
Drivers fill forms on their own jobs or on jobs nobody has yet. On a shared truck iPad the fill is recorded for the driver who signed in with their PIN.
Afterwards
Filled forms appear on the job under County and state forms. A driver's fill reads, for example, "Filled by Antonio Ruiz in the driver app · signed". A filled form is never edited in place, a signed one least of all: to change one, fill the form again and the new PDF joins the list.
