Open someone's profile
The Edit User window opens. Changes are saved when you click Update
User. Saving needs an owner or admin.
What you can change
Name and photo
Owners and admins can change a person's First Name, Last Name and
Profile photo (JPEG, PNG, GIF or WebP, up to 10MB). The new name and
photo show everywhere that person appears.
Email and Phone are shown but can't be edited here: "Email and
phone are sign-in credentials and can only be changed by the user from
their own account settings."
Role
Pick Admin, Dispatcher, Tech / Driver or Mechanic.
Changing someone to Admin asks you to confirm. See
Tech View Access
Shown for admins and dispatchers while Enable Tech View for Admin/Dispatch
Staff is on. Turn it on to let this person drive and be assigned jobs.
Tracks Time
"Show the time clock for this user and include them on timesheets. Turn
off for salaried staff who don't punch." It starts on for drivers and
mechanics and off for office staff; turn it on for a working owner who
punches. The time clock also has to be turned on for your company.
Turning Tracks Time off hides the clock and leaves the person off
timesheets, but never deletes punches they already made. See
Device PIN
The 4 to 6 digit code this person enters to sign on to a shared truck
tablet. It shows for drivers and mechanics, and for admins and dispatchers
with Tech View Access on.
PIN. It saves straight away, without Update User.
The PIN is never shown again after it is saved. See
Profile details
you don't collect it; the person is simply left out of the upcoming
birthdays list in Celebrations.
License, medical card, truck and working hours are on the person's
Driver Details page, not here. See

Edit names and photos for several people
Bulk Operations → Names & Photos lets you change names and drop in
photos for several people, then save them together. A person whose invite
is still pending can't have a photo yet.
Deactivate someone
Deactivate a person who has left or is on long leave. Their record and
history stay.
What deactivating does:

You can't deactivate yourself.
To deactivate several people at once, use Bulk Operations → Status &
Roles → Bulk set status → Deactivate, revoke access, then type
DEACTIVATE to confirm. You are left out automatically if you
selected yourself.
Reactivate someone
This restores their sign-in with the role they had.
Delete someone
Delete User only appears for people who are already deactivated, or
who never finished joining. It permanently removes the person from your
team and can't be undone.
If the person has records attached, such as jobs or assignments, the
delete is refused: "Cannot delete user: They have related records (jobs,
assignments, etc.) that must be removed first." In that case leave them
deactivated. Deactivating keeps their history intact, so it is the right
choice for almost everyone who leaves.
