The team roles
Every team member has one role. It decides which screens they can reach
and what they can change.
| Role | Short description shown in PortaPro | Where they work |
|---|---|---|
| Admin | Full system access | The office app |
| Dispatcher | Manage jobs and scheduling | The office app |
| Tech / Driver | Complete jobs and deliveries | The driver app |
| Mechanic | Repair work orders, log labor, manage parts | Fleet and shop screens |
The person who set up your company is its owner. PortaPro shows an owner
as Admin everywhere, with the same access.
A fifth role, Customer, is for your customers' portal logins. It is
never given from Team Management. Portal access comes from a customer's
contacts, and customer logins don't appear in the team list.
What each role can do
Admin
Admins can reach every part of the office app. Some actions are for
owners and admins only, including:
Dispatcher
Dispatchers work in the office app: jobs, dispatch, scheduling, customers
and the rest of daily operations. In Team Management a dispatcher can see
the team and invite or withdraw driver invitations, but can't change
roles or deactivate anyone.
Tech / Driver
Drivers sign in to the driver app (Tech View): their jobs and route,
service reports, DVIRs and their own time clock. If a driver opens an
office page, PortaPro sends them to the driver app instead. Drivers get a
Driver Details profile for their license, medical card, truck and
working hours.
Mechanic
Mechanics are shop staff. They can reach:
They don't see customers, financials, dispatch or settings. After signing
in they land on Work Orders. Giving someone the Mechanic role adds them to
your mechanics list so work can be assigned to them; taking the role away
marks them inactive there but keeps their labor history.
Tech View for admins and dispatchers
Some owners and office staff also drive. Tech View Access lets an admin or
dispatcher work as a driver without giving up their office role.
It takes two switches:
Staff Settings and turn on Enable Tech View for Admin/Dispatch
Staff.
View Access ("Allow this user to access Tech View and be assigned to
jobs"). The switch only appears for admins and dispatchers, and only
while the company switch is on.
With both on, that person:
Turning the company switch off removes Tech View from every admin and
dispatcher at once.
Drivers always have Tech View; there is nothing to turn on for them.
Mechanics are not drivers and can't be given Tech View Access.
Change someone's role
Only owners and admins can change a role.
Changing someone to Admin asks you to confirm first. The new role is
saved right away; the person may need to refresh to see their new screens.
To change many roles at once, use Bulk Operations → Status & Roles →
Bulk set role. Your own role is left out of a bulk change, so you can't
remove your own access by accident.
