Step by step in writing: Billing Setup: How You Bill
Transcript
Before the first rate card goes in, PortaPro needs to know how your company bills. Answer these the way you'd explain it to a new bookkeeper on their first morning. It's under Settings, Finance, Billing setup. About ten questions over five short steps and a final check, and Not sure is always an option. Anything you leave as Not sure stays exactly as it is today. First, how many yards your trucks start from, and who dispatches them. Next is the one that shapes every invoice: how long a billing period is. This company bills every twenty-eight days. On the right, the sample invoice redraws with every answer. It's three invoices for one rental delivered on the second of next month, worked out by the same engine that bills your customers. Then whether you bill before the period or after it. Municipal customers who need a purchase order first usually want before. And what a rental that lands mid-period pays. Prorate charges the days it was out, and the sample's first invoice shows exactly that. Invoices covers lines, terms, numbering, and when drafts are ready for you to review. Fees and tax come next. Anything that changes money waits for a real answer from you, and Not sure counts as one. Tax, card costs and deposits are set on their own pages, so here they're only noted. The last step lists every answer and what it does. In use means PortaPro already works that way. Will change means confirming changes it. Below that, anything in your own customers and rate cards that disagrees with your answers, with a link to where you fix it. Here, confirming changes no setting at all. If it would, every change is listed above the button first. Confirm setup when it matches. You can run it again any time, and each confirm is kept in its history.
