Hire someone
- About 2 minutes after the welcome email (recommended). It reads like a person sent it, and the invitation never lands first.
- Right away.
- Don't send an invitation, if you'd rather invite them from Team Management later.
The welcome email always ends with a short note that their PortaPro invitation is on the way, with links to the app. The invitation is the same one Team Management sends. They show as Pending there, tagged From Hiring, until they accept, and then as a regular team member.
The candidate's card shows where it stands: for example Invitation scheduled for 2:04 PM, Invitation sent, or Joined the team.
If the welcome email doesn't send, the invitation is held so it never arrives on its own. The card offers Retry welcome email or Send invitation anyway. A scheduled invitation can be Cancelled or sent right away with Send it now.

What carries over for drivers
When a driver accepts, the license state, license class, endorsements and medical card expiration from their application fill in their Driver Details. Nothing you've already entered is overwritten. Their Driver Details page shows Hired through Hiring · View application.
