One status badge everywhere
Every list that shows jobs (the calendar, the dispatch list, the dispatch
map's panels, the dashboard's Today's Routes, the driver app) uses the same
status badge, worked out the same way. A job therefore reads the same on
every screen.
The badge is not always the raw status saved on the job. PortaPro looks at
the driver, the scheduled date and today's date in your company's time zone
(Settings → Company) to say Overdue or Completed Late when that is
the truth.
The statuses
| Badge | What it means |
|---|---|
| Unassigned | No driver yet, and the scheduled day hasn't passed. |
| Assigned | A driver is set, and the job hasn't been started. |
| In Progress | The driver (or the office) started the job. |
| Completed | The job is finished, on or before its scheduled day. |
| Completed Late | The job is finished, but on a later day than it was scheduled for. |
| Overdue | The scheduled day has passed and the job is still open (Unassigned, Assigned or In Progress). |
| Cancelled | The job was cancelled and won't be done. |
| Skipped | A recurring visit you chose to skip this cycle. |
Two more labels can appear next to the status on some job cards. They are
flags, not statuses:
been moved to today or later. It stays until the job is done.
How a job moves between statuses
Unassigned → Assigned. Give the job a driver: in the new-job wizard, the
job's details, or Reassign on the dispatch map. Removing the driver
puts it back to Unassigned. A job with no driver always reads Unassigned
(or Overdue), whatever else is saved on it.
Assigned → In Progress. The driver taps Start Job in the driver app.
If the job uses a service report form, the driver taps Start Service
Report instead. In the office, Start Job on the job's details does the
same, from Assigned or Unassigned.
In Progress → Completed. The driver taps Mark Complete, or finishes
the service report with Complete Service Report. When every service line
on the job is done, the job completes on its own and the completion time is
recorded. In the office, Complete Job on the job's details does the same.
A line marked unable keeps the job open. If the driver marks a service
line as unable to complete, that line is closed but the job is not. It
stays open so it shows as a missed stop and can be rescheduled. See
Missed Stops and Rescheduling.
Open → Overdue. Nobody has to do anything. Starting the day after the
scheduled date, an open job reads Overdue. An unassigned job that passes its
date reads Overdue too.
Overdue → back on schedule. Reschedule the job to today or a later
day. The badge returns to its normal status, and Overdue - Rescheduled
appears beside it as a record that it was missed.
Completed vs Completed Late. PortaPro compares the day the job was
completed (in your company's time zone) with its scheduled date. A later day
reads Completed Late. A job saved as complete without a completion time
reads Completed Late when it had been flagged overdue. Completed Late is a
label worked out on screen; underneath, the job is a completed job.
Any open job → Cancelled. Cancel Job at the bottom of the job's
actions menu. It's available until the job is completed (a Completed Late
job can still be cancelled).
Recurring visit → Skipped. Skip this cycle in the job's actions,
offered only on jobs created automatically from a rate card. The job is kept
as Skipped, the customer isn't billed for the visit, and the next service
date moves forward one cycle. Office staff only.
Reversing a status
Reverse status steps a job back one stage:
| From | To |
|---|---|
| Completed | In Progress |
| In Progress | Assigned (or Unassigned if there is no driver) |
In the office it is in the job's actions menu; in the driver app it is the
Reverse Status button on the job. It isn't offered for Unassigned,
Assigned, Cancelled or Skipped jobs. See
Filtering by status in the driver app
The driver app's status filter uses the same list: All Statuses,
Assigned, Unassigned, In Progress, Completed, Cancelled,
Skipped, Priority, Overdue - Rescheduled, Overdue and
Completed Late.
On the way and On site
On the dispatch map a job can also show En route or On site. Those
come from the driver's dispatched route, not the job's status: the job stays
Assigned or In Progress underneath.
