Every job has a details panel where you see and change everything about it,
and an actions menu for what you do to it: start, reschedule, cancel and more.
Opening a job
Click a job anywhere in Jobs & Dispatch (a calendar card, a dispatch card, a
search result) and its details slide in from the right. The title is the job
number, with status badges beside it. A job generated from a rate card shows
an Auto-scheduled badge with its due date.
Editing a section
Hover over a section and click its pencil (always visible on a phone), make
your change, then click Save. Only one section can be edited at a time.
If you try to leave with unsaved changes, PortaPro asks Discard unsaved
changes?
What's on the panel
Schedule & Dispatch
On-site duration override (minutes). With item movement on, units held
for the job move to the new date with it.
its route.
Service Location: the site on a map, plus any reference pins.
Items: titled Items to Deliver, Items to Pick Up or Services
by job type. You can change quantities or remove items. With
item movement on you can also add items and
change kits; held units follow (extras go back to the yard, new ones are
picked for the job's dates). Without it, new products are added from the job
wizard.
Customer: read-only. View customer opens the profile, where contact
details are changed.
Billing
fee is set to Next cycle bill (rides the customer's next cycle invoice)
or Invoice now (pulled in when you create an invoice from this job).
Fees already billed show Billed and can no longer be changed.
Job Details: Special Instructions and Lock Options (locks, number
of locks, lock details, zip-tie on drop-off).
Notes: Technician Notes come from the field and are view only. The
Notes box below is the office's own notes.
Other cards appear when they apply:
Copy proof link. See
those features.
The actions menu
The main button at the bottom of the panel is Start Job (on an assigned or
unassigned job) or Complete Job (on a job in progress). Everything else is
in the ⋯ menu, and each item shows only when it applies:
| Action | When it shows | What it does |
|---|---|---|
| Reschedule | Not completed or cancelled | Moves the job to another day, with suggestions for when a driver is next nearby. See Missed stops and rescheduling. |
| Set as first stop today | Not completed or cancelled | Puts the job at the front of the driver's dispatched route for today. Needs a driver. |
| Reassign | Assigned, unassigned or in progress | Opens the driver and vehicle editor. |
| Reverse status | In progress or completed | Steps the status back one: completed to in progress, in progress to assigned (or unassigned if there is no driver). |
| Skip this cycle | Rate-card jobs only | Deletes this visit and moves the next service date forward one cycle. The customer is not billed for it. |
| Extend Rental | Jobs with per-event items, not finished | Moves the pickup date, extends the reservation, and can bill a per-day overage. |
| Generate Manifest | Completed service jobs | Makes a pump-and-haul manifest PDF. |
| Fill Form | Any job | Fills one of your regulatory PDF forms with this job's details. |
| Request Deposit | Not cancelled | Creates a deposit invoice for this job. See Deposits. |
| Charge for Damage | Not cancelled | Invoices a damage or cleaning charge and charges the customer's saved card. Owners and admins only. |
| Cancel Job | Not completed or already cancelled (a job completed late can still be cancelled) | Cancels the job (in red, at the bottom). |
Requesting a deposit
If the job came from a quote that already asks for a deposit, PortaPro says
so. Use the quote's deposit invoice unless you need a separate one.
Charging for damage
Enter the Amount and What it's for. If the customer has a saved card,
the button reads Charge and charges it; the invoice is then paid. With no
saved card, or if the card is declined, PortaPro creates the invoice instead.
If the card was saved for invoices rather than damage charges, PortaPro asks
you to make sure the customer agreed.
Cancelling a job
Cancellation fee (optional). A fee creates a one-line invoice.
Cancelling releases the equipment held for the job. Cancelling a delivery
also cancels its open event pickup (the pickup created with an event booking
or from the same quote). A pickup you scheduled with the wizard's Schedule
the pickup trip switch is its own job; cancel it separately. If a card
payment was already collected, it can be refunded from the invoice's
payments.
There is no action to un-cancel a job.
