What this is
Some companies name the exact unit for every job when they book it: #1045 and #1046 go to the Miller job. Others let the driver grab any matching unit in the yard and write down the number when it goes on the ground. Who picks the unit that goes out? is the setting that decides how PortaPro books units.
Where: Settings → Jobs → Who picks the unit that goes out?
Only an owner or admin can change it. Dispatchers can see it.
The two choices
Office picks it when booking (the default). Jobs name their unit numbers as soon as they're booked. In the job wizard, Add 2 picks two free units for you, and Pick specific units lets you choose them by number. Drivers take those units.
Drivers record the units they drop off. Jobs say how many of each unit, for example "Any 2 Standard". Drivers grab any matching unit in the yard and record its number when they drop it off.
Either way, PortaPro keeps enough units aside so the same unit is never booked twice, and the office can still pick exact units by number on any job. Changing the setting affects jobs booked from then on.
When drivers record the units
Booking
On the job (office)
Before the drop, the job's line reads Any 2 Standard · driver records units. After the drop, it shows the unit numbers, with who recorded them and when, for example #1050 #1051 · recorded 9:42 AM by Antonio.
At the drop (driver)
The driver taps Drop units here (my GPS) and types or scans each unit they set down. The sheet never suggests the units set aside for the job. Under Units without a number, the counters start at the job's quantity, so a driver who doesn't note numbers can still say how many went down.
If the driver tries to complete a delivery with a line that has no unit recorded, the app asks first:
A unit set aside for another job
If the unit a driver drops was only set aside for another job that hasn't started yet, the drop takes it, and the other job gets another free unit of the same kind. The job note says so, for example "#1003 was standing in for another job, which now holds #1007." A unit the office picked by number for another job, or one already on a truck, is still refused.
Pickups (every company)
Mark Complete on a pickup means everything the pickup listed came back. When it didn't, the driver taps Not everything came back? first and ticks what they're taking. A unit left unticked stays out at the customer and stays booked, so it isn't offered for another job while it is still on site. See Job details and completing service.
